The Floor Scrubber Buying Checklist I Wish I Had in 2017

I've been buying equipment for commercial cleaning contracts since 2017. In the first year, I made the classic mistake: ordered a floor scrubber based on the spec sheet, not the actual site. That order cost $3,200 in rework and a one-week delay because the machine couldn't handle the grease in a food prep area. The vendor took it back, but the restocking fee and freight both ways hurt.

Since then, I've kept a running list of everything that went wrong—and a few things that went right. This checklist is that list. It's for facility managers, cleaning business owners, and anyone about to buy a floor scrubber, a scrubber dryer, or a sweeper.

There are seven steps. Step four is the one everyone ignores, and it's the one that will cost you the most.

Step 1: Match the machine to your floor type and soil load

A scrubber dryer is a washing machine for floors. It applies water, scrubs, and vacuums the dirty water off. A floor sweeper is a giant broom—it picks up debris without water. A combination machine tries to do both, usually by sweeping first and then scrubbing in the same pass.

I used to think "floor scrubber" and "scrubber machine" were interchangeable. They are not. If you search "floor scrubbers scrubber machine", you'll get both—and the difference matters. If your site has metal shavings, wood dust, or packing debris, a scrubber dryer will drag those particles through the pad and scratch the floor. You need a sweeper or a machine with a pre-sweep function.

What I didn't account for was the 90-degree turn at the end of the corridor, where there was a vending machine and a fire extinguisher cabinet. The machine couldn't make the turn without hitting the cabinet. We had to move the vending machine. It took two movers, half a day, and a billing argument. Actually, no soda was involved. Just wasted time.

The correct move: measure the width of every door, every aisle, every turn, and the lift capacity if the machine needs to go in a van. Add 4 to 6 inches to the machine's listed width for handle clearance. And check the turning radius—especially for a long scrubber dryer. The rear end swings more than you think.

I want to say the "standard" commercial door is 36 inches wide, but don't quote me. Just measure.

Step 3: Compare total cost of ownership, not the purchase price

The cheapest machine always looks good on paper. Then the specialty brushes cost $190 per set, the batteries die twelve months in, and the downtime wipes out any savings. I've bought cheap machines like that twice. Twice too many.

Now I run a three-year cost sheet before anything. It includes purchase price, pads, squeegee blades, filters, battery replacement, service visits, and lost hours waiting for parts.

The only parts distributor was three countries away. I waited four weeks. The machine sat in the corner. The client saw it sitting there. They didn't say anything, but I knew what they were thinking: if the cleaning company can't keep its own tools running, how will they keep our floors clean?

People judge you by the tools you use. A grimy, broken-down machine screams "we cut corners."

Step 5: Test the dust control and filtration before you buy

This matters more than people think. A scrubber dryer with weak filtration will blow fine dust out of the recovery tank exhaust. You can see it in sunlight—tiny particles dancing in the air. On white ceilings, you'll see the residue in a week.

We rented a machine once that did this in a client's lobby. The next morning, there was a thin grey film on the glass partition. The client called and asked if we'd sprayed something oily. Nope. It was dust from the machine's exhaust. We had to re-clean the entire lobby for free.

Ask the vendor for a dust test before you sign. Run the machine over a dry floor, then wipe a white cloth across the nearest surface. If it comes back grey, walk away.

Numatic scrubber dryers generally have solid multi-stage filtration for this class of machine. But you still have to change the filters on schedule. A clogged filter reduces suction, leaves streaks, and blows more dust. Period.

Step 6: Train at least two people before the vendor leaves

It's tempting to get a quick demo and sign off. If only one person learns the machine, you're vulnerable. The day that person is off, nobody knows how to empty the recovery tank correctly, and suddenly the machine is filled with wet dust and smelling like a swamp.

I learned this the hard way in 2019. I said to my team: "The quick start card covers everything. Just follow it." They heard: "We'll figure it out as we go." That night, someone forgot to seat the squeegee assembly. The next morning, the machine had left a water trail down 200 feet of vinyl floor. It wasn't damaged—just wet. But it ruined a retail unboxing because the client had to put out wet floor signs everywhere.

Now the rule is: two named people must complete a full operational pass—including draining, cleaning, and charging—before I accept the machine. No exceptions.

Step 7: Plan the battery and charging routine

If the machine is battery-powered, you need a charging schedule, not a charging habit. "Plug it in when empty" leads to half-charged batteries, sulfation, and a shorter pack life.

Set specific days and shifts for charging. Label the chargers. And check the voltage of your outlets before connecting anything. I know a facility that plugged a 240V charger into a 110V outlet. Poof. $1,800 battery pack gone. I didn't do that one, but I was close in a different facility; caught it after the adapter sparked.

Batteries also need water if they're lead-acid. Use distilled water, not tap water. Put that on the checklist too. Actually, make it step 8 in your own local version. Good.

  • Floor sweepers and scrubber dryers are not the same. A sweeper picks up debris. A scrubber washes and dries. Some machines do both, but they're usually better at one than the other. Don't assume.
  • The machine's condition is your brand image. When a client sees a grimy, beat-up scrubber dryer parked by the loading dock, they wonder what else is dirty. Keep it clean, and invest in quality. The difference between a £200 and a £2,000 machine is usually visible in the first week.
  • Water hardness matters. Hard water will scale your squeegee and leave streaks. If your area has hard water, budget for a water softener or use demineralized water for the final pass.
  • Read the manual. I'm serious. The one time I skipped the manual was the one time the machine had a special lockout for transport. It cost us a tow truck.

Buying a floor scrubber isn't exciting. It's a decision you'll live with for five years. Use the checklist, test the machine, trust the data, and don't learn the hard way like I did. Simple.
